A digital mailroom for a business costs about $60 to $360 a month for 100 pieces of mail opened and scanned, $210 to $1,000 for 300 pieces, and $770 to $3,100 for 1,000 pieces, on the plans US providers publish today. The spread on the same workload is four to six times, and it comes almost entirely from how each provider counts: per piece received, per envelope opened, or per page scanned. Enterprise outsourcers that run a mailroom on your premises or at their own center publish no US prices at all.
Every price below was read on October 15, 2026, from the provider's own pricing page, or from data embedded in that page when the visible table hid it. Where a provider sets prices by address, we say which location we read. Traveling Mailbox blocks automated visits, so its row comes from an archived copy of its pricing page from March 2026 and is marked that way.
Digital mailroom pricing by provider
Ten of the thirteen mail scanning providers we checked publish a usable US scanning price, and the other three, virtual office chains, price only the address. What they sell for that price differs more than the headline suggests: some include every envelope opened and scanned, some include only an exterior envelope image and charge for every opening, and three charge for each scanned page.

Read the third column before the second. The $3 per piece overage at LegalZoom, Stable and US Global Mail is where the cheap-looking plan stops being cheap, and the per page rate at Anytime Mailbox turns a $29.99 plan into a several hundred dollar bill once you scan multi-page letters.
What 100, 300 and 1,000 pieces a month cost
A business that moves to a digital mailroom opens nearly everything: vendor invoices, checks, tax notices, insurance correspondence, legal mail. So we priced the same workload on every plan that publishes enough to price it, with every piece opened and scanned, an average of three pages per letter, and five people receiving mail. Each cell is the cheapest published plan for that volume on monthly billing, overages included. Postage, check deposits and forwarding are left out.
| Provider and plan used | 100 pieces a month | 300 pieces a month | 1,000 pieces a month |
|---|---|---|---|
| VirtualPostMail (Business, then Premium) | $60 | $240 | $940 |
| PhysicalAddress.com (Plan 100, then Plan 200, from prices) | $67 | $207 | $767 |
| US Global Mail Teams | $129 ($99 billed yearly) | $729 ($699 yearly) | $2,829 ($2,799 yearly) |
| Traveling Mailbox Small Business (archived prices) | $115 | $440 | $1,665 |
| LegalZoom MailRoom (Startup, then Business) | $179 | $449 | $2,549 |
| PostScan Mail Digital Mailroom (Startup, Business, Enterprise) | $180 | $500 | $1,600 |
| iPostal1 (Silver, then Gold, scans in 20 packs) | $180 | $516 | $1,811 |
| Stable Scale | $249 | $849 (Custom is quote only) | $2,949 |
| Anytime Mailbox (Gold, then Unlimited, Wilmington) | $360 | $1,000 | $3,100 |
Two things decide the ranking. First, whether a scan is counted per envelope or per page: at three pages a letter, the per page providers pay off only when their page allowance is generous (PhysicalAddress.com) and become the most expensive when it is zero (Anytime Mailbox). Second, the $3 overage. US Global Mail's Teams plan covers exactly 100 openings a month, then charges $3 for every letter above that, so at 300 pieces it costs three times VirtualPostMail's bill. Plan on the volume you will have in month twelve, not this month.
If more than about a third of your mail is single-page, rerun the per page rows: Anytime Mailbox at 100 single-page letters drops from $360 to about $160, and PhysicalAddress.com to about $27. The per envelope providers do not move.
Enterprise digital mailroom services and why they publish no price
Exela and its European arm XBP, Iron Mountain, Ricoh, Canon Business Process Services, Xerox, Docufree, Pitney Bowes and Conduent all sell digital mailroom services, and none of them publishes a US price. Each routes you to a quote form. These are a different product from the providers above: they take over a company's whole inbound mail stream, often including staff on your premises, sort it by department, classify documents, key index fields into your systems and send the image to the right workflow queue.
The one public rate card we found comes from the UK government's G-Cloud 15 marketplace, where XBP Europe lists its Digital Mailroom at a £3,900 monthly service charge, £0.11 per envelope handled, £0.21 per page digitized and classified, and £1.00 per image keyed for up to three fields. At 1,000 letters of three pages a month, that is £4,640 before keying, roughly £4.60 a letter. The service charge is the point: at low volume it dwarfs the per piece rates, which is why outsourced enterprise mailrooms make sense at tens of thousands of pieces a month and the subscription providers above win below that. It is a UK public sector price in pounds, so use it as a shape for your own quote, not as a US list price.
How much does mail scanning cost per page?
Mail scanning costs $0.20 to $1.00 per page on published US plans once you are past the included allowance. PhysicalAddress.com charges $0.20 per extra scan, Traveling Mailbox $0.50 per page, and Anytime Mailbox $1.00 per page at the Wilmington location we read. Envelope-priced providers charge $1 to $2.25 for an envelope of up to 10 pages, then $0.25 a page.
That gives a simple rule. If your mail is mostly long documents, such as multi-page vendor statements, contracts or legal notices, an envelope-priced plan is cheaper. If it is mostly single-page invoices and checks, a page-priced plan with a decent allowance wins. LegalZoom sits apart: scanning is included up to 20 pages per document, and you pay per item received instead.
The fees outside the monthly price
The plan price covers receiving and scanning. These are the lines that show up on the bill afterward, with the published rates we found.
| Fee | Published range | Who charges what |
|---|---|---|
| Check deposit | Free to $10 per check | US Global Mail free (shipping only); iPostal1 $4.95 per deposit of up to 5 checks; Traveling Mailbox $4.95 per check plus postage; VirtualPostMail $10 per deposit plus $1.50 per extra check; LegalZoom $10 per check, or $39 a month for 5 checks then $2 each; Stable separate check plans from $3 per check |
| Forwarding | Postage only to $5 per shipment plus postage | Stable postage only; Traveling Mailbox $2 per shipment; PostScan $2 for the first item plus $0.50 each; LegalZoom $1.25 per shipment plus $1 per item; Anytime $5 per bundle |
| Storage after the free window | $0.05 a day to $0.60 a day per item | PostScan and US Global Mail $0.05 per item per day; iPostal1 $1.10 per item per month; LegalZoom $1.50 per letter per month after 30 days; Anytime Mailbox $0.60 per item per day after 20 days |
| Shredding | Free to $1 per item | Free at Stable, LegalZoom, VirtualPostMail, US Global Mail, PhysicalAddress.com and Traveling Mailbox; Anytime $0.30; PostScan $1 per item up to 10 pages |
| Extra users or recipients | $2 to $30 a month each | VirtualPostMail $2 to $5; PostScan and LegalZoom $5; Anytime $10; Stable $20 or $30 per user; US Global Mail $25 per user |
| HIPAA handling | $25 a month plus $0.50 per item | PostScan Mail; the others do not price it |
| Setup and term | None to $199 and six months | No setup fee and month to month at VirtualPostMail, US Global Mail and iPostal1; Davinci $199 list setup and a six month term; Alliance six months |
Storage is the fee that surprises people. At Anytime Mailbox's Wilmington rate, one envelope left in storage for a month past the free window costs $18, more than the scan. Set a rule in the dashboard to shred or forward everything older than the free window.
Can a virtual mailbox deposit checks?
Yes, most business mail scanning providers deposit checks, for a fee. They open the envelope, scan the check, and either mail it to your bank or deposit it for you. Published prices run from free at US Global Mail (you pay shipping) to $10 per check at LegalZoom and VirtualPostMail. Anytime Mailbox's Wilmington location does not offer deposits at all.
Past roughly 50 checks a month, a bank lockbox is usually cheaper and faster, because the bank deposits the same day and sends a data file for cash application. We priced six banks on the same workload in our guide to lockbox services pricing, and the crossover against LegalZoom's check plan sits at about 50 checks a month.
Is a virtual mailbox worth it for a business?
For a remote or hybrid company, usually yes, because the alternative is someone driving to an office or a PO box to open mail. At 100 pieces a month, the cheapest plans in our workload table cost $60 to $67. An office manager spending four hours a week on mail at a $25 loaded hourly rate costs about $430 a month. The decision gets harder at 1,000 pieces, where the spread between providers is $770 to $3,100 a month and the right answer depends on page counts, check volume and who needs to see what.
It is worth less in three cases: when most of your inbound volume is customer payments (a lockbox does that job better), when you are legally required to receive service of process at a registered agent address (several providers sell that separately, from $25 a month per state at Stable to $99 a year at iPostal1), and when your mail is mostly packages, which every provider charges for differently.
Corporate mailroom software pricing for packages
If your problem is packages arriving at an office rather than letters arriving for a remote team, you are shopping for package tracking software, a different product. It logs each delivery, notifies the recipient and records the pickup. Three vendors publish prices: Envoy Deliveries at $250 per delivery location per month billed annually, on top of a separate platform fee it does not quote; Notifii Track from $119 a month for businesses; and Parcel Tracker at $87 per site per month, $67 billed yearly, with unlimited parcels on that plan. PackageX publishes nothing on its own site.
How to get digital mailroom quotes you can compare
Every provider in this guide counts something different, so a quote is only useful once it is converted to your workload. Before you talk to anyone, pull three months of mail and write down five numbers:
- Pieces received per month, excluding junk mail, and the trend over the year.
- The share you need opened and scanned, and the average number of pages per letter.
- Checks received per month and their average value.
- The number of people or departments who need their own mail feed.
- How long paper must be kept before shredding, and whether anything must be retained in original form.
Then price each shortlisted plan at your month-twelve volume, including the overage, storage and check lines. If a provider will not give you the per piece and per page overage in writing, treat its plan price as incomplete.
Scanning is half of the job. Once vendor invoices arrive as PDFs in your AP inbox, someone still has to type the amounts, dates and line items into the accounting system, and you can extract the invoice fields from those scans rather than rekeying them. The scanned images also need a home with permissions and retention rules; our document management software pricing comparison covers where they usually go. And if the backlog is boxes of old paper rather than this week's mail, a one-time bulk document scanning service prices by the page and is the cheaper route. For the outbound side of the same mail stream, invoices and statements you send, see our guide to invoice printing and mailing costs.
Frequently asked questions
How much does a digital mailroom cost?
A digital mailroom costs about $60 to $360 a month for 100 business letters opened and scanned, and $770 to $3,100 a month for 1,000, on plans US providers published on October 15, 2026. Enterprise outsourced mailrooms are quote only; the one public rate card, XBP Europe's UK listing, starts at a £3,900 monthly service charge.
How much does a virtual mailbox cost for a business?
Business virtual mailbox plans start at $8 to $20 a month for 30 to 60 pieces with few or no scans, and run $35 to $600 a month for plans with scanning included and multiple recipients. The plan price matters less than the overage: $3 per extra piece at LegalZoom, Stable and US Global Mail, $0.25 to $1 elsewhere.
What is the cheapest mail scanning service for a business?
On our 100 piece workload, VirtualPostMail Business at $60 a month and PhysicalAddress.com at about $67 were the cheapest, and they stayed cheapest at 300 and 1,000 pieces. Both include generous scan allowances. Anytime Mailbox looks cheapest by plan price but charges $1 per scanned page, which made it the most expensive at every volume we priced.
Do mail scanning services charge per page or per envelope?
Both models exist. VirtualPostMail, PostScan Mail and iPostal1 charge per envelope opened, covering up to 10 pages, then $0.25 a page. PhysicalAddress.com, Traveling Mailbox and Anytime Mailbox count pages. LegalZoom and Stable include scanning and charge per piece received instead.
Is a virtual mailbox the same as a digital mailroom?
They overlap. A virtual mailbox gives a small company an address and scans its mail. A digital mailroom plan adds volume, many recipients and routing to departments, and enterprise digital mailroom services from Exela, Iron Mountain or Ricoh add classification, data keying and on-site staff, priced by quote.
